Who You Are:
As the Marketing Project Manager of External Teams & Departments, you will play a pivotal role in driving the success of HighLevel’s virtual events by managing marketing-specific tasks and acting as the primary liaison between the Marketing team and other HighLevel teams such as Business Development, People (HR), Customer Success, and Affiliate. Your ability to organize, strategize, and execute will directly contribute to the efficiency and impact of our cross-departmental projects from concept to completion. You will be responsible for managing project lifecycles, from initial intake to final delivery.
This role is ideal for an experienced project manager who thrives in fast-paced, dynamic environments and is passionate about virtual and in-person events, marketing, and cross-functional collaboration. In addition to technical proficiency, we highly value soft skills such as communication, adaptability, and emotional intelligence, as they are critical to fostering collaboration, resolving conflicts, and building strong relationships across diverse teams. Your ability to balance empathy and efficiency will be key to ensuring smooth project execution and a positive team dynamic.
What You'll Be Doing:
- Lead Project Management for External Teams and Departments.
- Manage end-to-end marketing-related tasks and projects for HighLevel teams.
- Build and maintain project plans, timelines, and deliverables to ensure projects stay on track.
- Serve as the #1 liaison between External Teams & Departments and the Marketing Team for cross functional projects.
- Host kickoff meetings, define roles, and establish clear project objectives.
- Coordinate with internal teams (e.g., Marketing, Creative, Development) to ensure seamless project execution.
- Monitor project progress, identify potential risks, and take corrective action as needed.
- Regularly communicate project updates, address questions, and manage task dependencies.
- Oversee the creation of project or campaign materials in collaboration with creative teams to ensure alignment with brand guidelines.
- Provide strategic guidance to maximize the impact of event marketing efforts.
- Manage 3rd party contractors and freelancers as needed to fill any needs for at-risk projects.
- Develop and implement resources, templates, and processes to streamline recurring tasks for cross functional tasks and projects.
- Build workflows to support the intake and execution of event-related marketing projects.
- Identify opportunities to improve workflows, reduce bottlenecks, and ensure timely execution of projects.
- Cultivate a collaborative team environment to achieve collective goals.
- Maintain open communication channels with stakeholders, providing regular updates and actively seeking input.
- Leverage your marketing expertise to guide and support cross-functional teams throughout the project lifecycle.
- Document project details and decisions systematically to ensure clarity and accountability.
- Build strong relationships with stakeholders from various departments.
- Facilitate effective communication and collaboration among team members.
- Resolve conflicts and address issues promptly.

What You'll Bring:
- Proven ability to manage multiple projects simultaneously in a high-pressure, fast-paced environment.

- Experience managing multi-channel marketing initiatives, including digital, email, social media, and traditional platforms.

- Exceptional written and verbal communication skills for effective stakeholder management.
- Strong skills in identifying and collaborating with external contractors or agencies to meet deadlines when in-house resources are maximized.
- Ability to design and implement templates, workflows, and resources to streamline recurring tasks for specific event types.
- Adept at prioritizing and evaluating marketing requests to align with the overarching company wide and marketing team goals.
- High attention to detail and a focus on delivering quality results.
- Proactive problem-solving mindset to identify roadblocks and develop solutions.
Experience/Education/Certifications Required:
- Familiarity with marketing tools and project management software (e.g., ClickUp, Asana, Trello, Slack, Google).
- Background in virtual/in-person event production or marketing.
- Experience in a remote, high-growth start-up environment is a plus.
- Bachelor’s degree in marketing, communications, business, or a related field (preferred) or equivalent work experience.
- 2+ years of project management experience, preferably with a focus on events, marketing, and digital.
- 2+ years experience B2B, SaaS, and/or agency/startup experience preferred.
- Experience with Agile project management methodologies, such as Scrum, including sprint planning, daily stand-ups, and sprint retrospectives, is preferred.
